Release 2024-01 (2024.1)

This update introduces new features and improvements that will enhance your experience on DOQMIND. We are committed to continuously improving our testing and release procedures, to ensure that you receive the best possible experience.

For this release, Assets and Projects received multiple improvements and new features that will improve the usability for all users. Finally we updated the user management page and reviewed rights for external users..

Bellow are some highlights of this release, followed by a comprehensive list of all of the bug fixes and improvements:

Projects Improvements

Excel to Form

The “Fill in the form“ task has received an upgrade that allows actors to use a broader variety of Excel files to automatically fill in a form. It does so by using Excel formulas in DOQMIND to retrieve data from the provided spreadsheet. This means that virtually any Excel file can now be mapped to a DOQMIND form.

As an actor, you have the possibility to upload an Excel in a “Fill in the form” task execution. All answers that are mapped to the Excel will be filled in automatically.

Alternatively, the task execution can be configured in such a way that it uses Excel files from prior tasks in the project.

You can either review, correct and append the imported values manually, or the task can be executed completely automatically.

Mix and match these options and configurations to find the ideal setup that suits your process.

Project Metadata

It is now possible to search and show project metadata at various levels:

List View

In the visible columns dropdown, it is now possible to select metadata fields so they are shown in the list view.

Not every metadata field will be shown here, only the fields that are used in metadata forms. Every label of every key that is ever present in a metadata form will be present in this list.

As this means that the list will be substantially longer, which we can see in the screenshot above, we’ve added a search bar and a divider indicating the active and inactive fields. The search bar allows you to easily find the field you are looking to show. Everything above the divider is active in list view, while everything below it is inactive.

Advanced Search

You will find the same list of fields in the advanced search creation panel. Here you can also find a search bar to find the field you need. Once selected, a metadata field can be utilized like any other criterium in a search parameter.

Quick Actions

We’ve added a “Show Project Metadata“ option in the quick actions dropdown menu. This is available for every project and can be found in list, card and detail -view.

This presents a modal that shows the current state of the project metadata form. This is the same form that can be found in the project folder in the assets module or in the assets tab of the project detail view. If a project is still in progress, this form is subject to change. There is also the possibility to make manual changes directly from this modal.

Save Advanced Search Filter

In projects, it is now possible to save an advanced search filter. This allows for easy re-use of previously created filters. There is also the possibility to select a “default“ filter, which will always show when first opening the projects module. This way, the user experience can be further tailored to every users needs.

Remember Actor Change

In case of a re-loop, the repeated tasks will now look at the execution rather than the configuration. This means that in case a task gets manually re-assigned, this change will be remembered in case of a re-loop.

Remember Last Active Tasks Tab

For users that have access to both Athena Graphics Orders and DOQMIND Tasks, the toggle between these two lists of tasks now remembers the last active selection.

Ability to send task notifications to users or email addresses based on project metadata

Task notifications could already be sent to actors, project managers or fixed email addresses. We added the possibility to send notifications to data that was entered via form fields. We can send to email adresses entered, or to user selected from a database.

Assets Improvements

Baskets Upgrade

Baskets can now be found in its own separate module in the top navigation bar.

This view allows you to delete or archive multiple baskets in one action, making the baskets much more manageable.

Informational mails on baskets

When sending a basket, it’s now possible to inform people that the basket is sent. The people in this list will receive an email notification without download link. As a reminder, basket links can only be used once, and automatic archiving and deleting only start when the basket has been downloaded by all recipients. This allows you to inform users without blocking the automatic deleting/archiving of baskets.

Textarea Assets Property

In assets, under file details, we can now add a new field type that allows for larger sections of text and formatting.

General Improvements

User rights module revamped

The interface for user management received a new look and feel, in order to be aligned with the rest of the the application. With the exception of external user rights described bellow, the way of working remains the same.

External User Rights Review

User rights for external users were simplified, both for Assets and for Projects.

Assets

External users are mainly used for folder sharing in assets. Previously, rights were set when configuring the user, and again when sharing a folder. This could lead to confusion. In the new implementation external users get a single right to access the asset module. The specific rights are set when sharing a folder.

This allows to finely define the access rights an external user has per folder, but in a more intuitive way.

Existing shares will continue working as before.

Projects

An external user only has the need for the “actor“ user right, allowing them to act as actor in task executions. The user rights panel now reflects that. There is only one right available, making it easier to create and configure external users for projects. Existing external user rights will continue to function as before.
